Getting a business letter right is vital; you are giving the reader a written representation of you and your business so if you get it wrong you can guarantee that the letter will be filed in the bin and you can forget getting any business.

It is important to know how to structure your letter. You should always include your business name and address, either to the top right of the page or in the centre as a letter head.

Make sure that you add the date written in full, and any reference that there may be so it is easy to find amongst all of the letters that both you and your reader send and receive.

On the left of the page, you need to write the name (either of your reader or the company that you are sending the letter to) and their address.

Leave a space underneath and write your salutation. Naturally, it is better if you know the name of the person who will be reading your letter, but if you do not you can write ‘Dear Sir/Madam’.

Make sure that your letter is succinct; your reader will get bored and irritated if it rambles unnecessarily, and split each point into paragraphs leaving a space in between each one.

Another vital point when writing a business letter is that it is grammatically correct and that your spelling and punctuation are faultless. You can use the spell-check facility on your computer, but always proof read to be sure.

To finish your letter you should use either ‘Yours sincerely’ or ‘Yours faithfully’ - nothing else. If you started with Dear Sir, you finish with Yours faithfully; if you used the person’s name, you finish with Yours sincerely. Note that sincerely and faithfully are never capitalised.
